Privacy Policy

A one-van business, so this is short and in plain English. It explains exactly what the enquiry form collects, where it goes, how long we keep it, and how to tell us to delete it.

Who is responsible for your details

Man With Van Long Wheelbase is an independent, owner-operated man and van service based in Bradford, West Yorkshire. The business is run by its driver, so the person who answers the phone is the same person who reads your enquiry and handles your details. We are the data controller for anything you send us.

We are small enough that we are not required to appoint a data protection officer, and we have not appointed one. Anything on this page, including a request to delete your details, is dealt with by the owner directly.

What we collect, and why

We only ask for what is needed to price a job and turn up at the right door on the right day.

The full enquiry form (on the contact page and on our service, town and guide pages) asks for your name, phone number, email address, the service you need, the collection postcode, the delivery postcode, an optional preferred date, and a free-text description of the job. Alongside that the form quietly sends the name of the form you used and the address of the page you sent it from, so we know which town or service you were reading about when you got in touch.

The short quote form on the home page asks for less: your name, your phone number and a sentence about what needs moving.

Both forms carry a hidden tick box that is invisible to you and only gets filled in by automated spam bots. If it comes back ticked, the message is discarded. It collects nothing about you.

If you ring, text, use WhatsApp or email us instead, we hold whatever you choose to tell us in that conversation: usually a name, a number, two postcodes and a description of the job. Some customers also send photos of furniture or access; those come to us the same way.

We do not ask for, and have no use for, your date of birth, bank details, card numbers or any of the special category data that UK GDPR treats as sensitive. Please do not put anything like that in the message box.

Where the form actually goes

This is a plain, static website. It has no customer database, no login and no CRM behind it. When you press send, the form is posted to Web3Forms, a form-to-email service, which forwards the contents to our own email inbox and does not keep it for its own purposes. Web3Forms acts as our processor, and you can read their privacy policy at web3forms.com/privacy.

From there your enquiry lives in an ordinary email inbox, and in the phone of the driver who is going to do the job. Nothing is fed into an advertising platform, a lead exchange or a shared pool of contractors.

Our website hosting provider keeps routine server logs, including IP addresses, for security and reliability, in the way every web host does. We do not read or use those logs for marketing.

Our lawful basis for holding it

Under UK GDPR we rely on two grounds, depending on where you are in the process:

  • Legitimate interests, and steps taken at your request before entering a contract, when you send an enquiry. You asked us for a price; we cannot give you one without holding your details long enough to reply.
  • Performance of a contract once you book. We need your name, number and both addresses to carry out the move you have agreed to.
  • Legal obligation for the small amount of information that ends up in our accounts. HMRC requires business records to be kept, and an invoice or payment record carries a name and a job.

We do not rely on consent for any of this, because we do not send marketing. That also means there is no marketing consent to withdraw.

How long we keep it

  • Enquiries that do not turn into a job: deleted within twelve months. Most go sooner, when the inbox is tidied.
  • Jobs we carried out: the booking details are kept while the job is live and for a short period afterwards in case of a query or an insurance issue.
  • Accounts and payment records: kept for six years after the end of the tax year they fall in, because tax law requires it. These are financial records, not a contact list.
  • Text and WhatsApp threads: cleared periodically once the job is finished.

You can ask us to delete anything we are not legally required to keep, at any time, and we will.

No marketing lists, no sharing, no selling

We do not run a newsletter, we do not have a mailing list, and we do not add you to one. We contact you about the job you asked about, and that is all. When the job is done, we stop.

We never sell, rent or swap your details, and we do not pass your enquiry to other removal firms or lead-generation sites. The only people who ever see your information are:

  • Web3Forms and our email provider, purely as the pipe that carries the message to us.
  • Our accountant, for job and payment records at tax time.
  • Our insurer, and only if there were a claim relating to your move.
  • Anyone we are legally required to disclose to, such as the police or a court order.

Cookies and tracking

This site sets no cookies of its own. There is no Google Analytics, no Facebook pixel, no advertising tags and no visitor tracking of any kind, which is why you have not been shown a cookie banner: there is nothing to ask you to accept.

Two things are worth being straight about, because both involve another company seeing your IP address:

  • Fonts. The page typeface is served by Google Fonts, so your browser requests the font files from Google and Google sees the request.
  • The map. The Google map of our service area does not load until you press the button that says so. Until you press it, nothing is requested from Google Maps. Once you do, Google receives your IP address and may set its own cookies in your browser, under Google's privacy policy. If you would rather not, simply do not press it; the rest of the page works exactly the same.

Our links to Facebook, Instagram, X, WhatsApp and our Google Business Profile take you to those companies' own sites, where their privacy policies apply rather than ours.

Keeping it safe

The site is served over HTTPS, so what you type into the form is encrypted in transit. After that, your enquiry sits in a password-protected email account and on the driver's phone. We are a one-van business and we will not pretend to hold certifications we do not have; what we can promise is that your details are not copied around, not uploaded anywhere else, and not shared with anyone outside the short list above.

Children

Our service is aimed at adults booking a van. We do not knowingly collect information from children, and the forms are not designed or directed at them.

Your rights under UK GDPR

You have the right to:

  • Ask what we hold about you, and get a copy of it.
  • Have anything wrong corrected, for example a mistyped postcode or number.
  • Have your details erased, where we are not legally required to keep them.
  • Ask us to restrict what we do with them while something is being sorted out.
  • Object to us holding them on the basis of our legitimate interests.
  • Receive the details you gave us in a portable form.

Exercising any of these is free, and we will reply within one month. We may ask a question or two to check you are who you say you are, usually just the phone number or postcode you originally used.

How to have your details deleted

Email kam_hussain@yahoo.co.uk with the subject "please delete my details", or call 07856 457501 and say so. Tell us the phone number or postcode you used when you got in touch so we can find the right message.

We will delete the enquiry and any related messages and confirm once it is done. The one thing we cannot delete is a record we are legally required to keep, which applies only if you actually booked and paid for a job; in that case we will delete everything else and tell you exactly what has to stay and why.

Complaints

If you are unhappy with how we have handled your information, please tell us first, because it is usually a quick fix. If you are still not satisfied you have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

Changes to this policy

If we change how anything here works, for example by adding a booking system or switching form providers, we will update this page and change the date at the top. We will not start doing something new with details we already hold without saying so.
